Office Management of the NYC office:

  • Serve as front desk face of the organization in the NYC office, handing general inquiries (via phone and email), greeting visitors, accepting and distributing package deliveries
  • Order office supplies, equipment, computers, snacks, etc., and be proactive to ensure supplies are readily available.
  • Ensure the NYC office is a clean and well-organized workplace, with the technology in place for the NYC team to work effectively. Prep conference room technology and video conferencing equipment so team members can conduct in-person and video meetings seamlessly.
  • Identify and purse opportunities to improve the office environment, in look and feel and in how the team does its work.
  • Serve as primacy point of contact for building management and other vendors.
  • Track and reconcile office related expenses.
  • Coordinate with our network reliability and phone vendors to ensure constant internet and phone connectivity.
  • Assist with the preparation of reports and compliance requirements.
  • Create and maintain processes for ordering and distribution of items for the organization. Items include: business cards, branded printed materials (folders, envelopes), and laptops.

IT Support:

  • Use google suite to create new users, reset passwords, and create and update listservs.
  • Create and manage accounts on other SaaS platforms including Box (cloud storage) and Zoom (video conferencing).
  • Ensure conference room video conference equipment is kept in working order, installing updates when needed and troubleshooting when necessary.
  • Own the process for provisioning and profiling new laptops. This includes purchasing computers, and installation of software for new team members to use.

Additional tasks as assigned.

Required Qualifications:

  • High level of proficiency with MS Office, Google Business Apps software and CRM systems.
  • A natural problem-solver with excellent prioritization skills, successfully managing competing priorities and multiple deadlines, with high attention to detail
  • Superb interpersonal and communication skills (written and oral) and experience with client/customer relations
  • Strong attention to detail, meticulous management of large tasks list, with the ability to juggle task prioritization
  • Ability to work independently, while retaining a positive attitude and approachable demeanor.
  • Willingness to work hard to help the organization succeed.
  • Expectation is that the person is in the NYC office a minimum of 9 am to 5 pm Monday through Friday, and ability to work on a flexible schedule when required by workflows, which will include occasional evenings and weekends.

Preferred Qualifications:

  • Bachelor’s degree with a strong academic record
  • Strong computer and IT support skills and a willingness to take on additional IT-oriented tasks
  • Interest in behavioral science and the ideas42 mission

Compensation and Benefits:

Compensation is commensurate with experience.
